Frequently Asked Questions

1. What is Automated Billing and Payment Processing? 
At  Washington and Lee (W&L) University GPS, allows all students to view their bills, print their bills and make payments online. Through GPS system, an email from business@wlu.edu will be sent to each student's official W&L email address and any authorized payer's email address every time a new statement is ready.

2. What company has W&L partnered with to provide this service?
Nelnet Business Solutions, a hosted automatic billing and payment processing service, is providing GPS. Our contract with them ensures that the processes are compliant with the Family Educational Rights and Privacy Act (FERPA) and the Gramm-Leach-Bliley (GLB) Act.

3. Is Nelnet Business Solutions GPS website secure?
W&L believes that security is a very important factor in providing Automated Billing and Payment services. The technical architecture/security of the Nelnet Business Solutions service uses intrusion detection and firewall systems to protect the network.

4. Why is W&L transitioning to Automated Billing and Payment Processing?
W&L has decided to move to Automated Billing and Payment Processing for several reasons, among them time and money savings. The GPS service is available worldwide, 24 hours a day and 7 days a week. There are no checks, envelopes, or stamps needed to make a payment. Additional benefits include viewable billing and payment history as well as convenient access for authorized payers whom the students set up.

5. May I still receive a paper bill? 
No. Special exceptions will be made for students who do not have access to a computer after discussion with the Business Office at W&L. Contact the Business Office at 540-458-8730 or email business@wlu.edu.

6. How can I make an online payment?
Make Payment is an optional feature of GPS. Checking and savings account information from a bank within the United States can be entered at the GPS website and payments will be transferred electronically to W&L. You will have the option to have the site retain your bank account information or you may enter it each time you make an online payment.

Authorized payers will only be able to view their own payment and bank information. Each authorized payer is assigned a separate password for added security and privacy.

7. Can I pay my online bill with a credit card?
Yes. A convenience fee of 2.75% will be billed as a separate transaction by Nelnet to the credit card. Visa, Mastercard, American Express, and Discover cards will be accepted.

8. I do not feel comfortable paying my bill online. What other payment methods are
available?
  
Paying electronically is the preferred bill payment method but it is optional. You may send payments by mail or pay in person at the Business Office. To send a check or money order through the mail, please print a copy of the PDF bill and mail it with the payment (payable to The Washington and Lee University) to:

9. Do I need a certain type of computer, software or Web browser to use GPS?
You can use the GPS service from any Macintosh or PC running Microsoft Internet Explorer 5.0 or newer, or Netscape Navigator 6.0 or newer.

10. Do you accept payments from foreign bank accounts?
The GPS system cannot accept payments from foreign bank accounts. If you cannot pay your bill through a bank account in the United States, we do accept wires from United States and from Foreign Banks.  Please contact the Business Office either by phone (540)458-8730 or by email business@wlu.edu. You will be asked to provide your name along with the name, ID#, and home address of your student, .

11. What are the benefits of Automated Billing and Payment Processing?

12. How do students log in and view their bill?
Students will receive a monthly email notification with the subject line "GPS eBill notification - Washington and Lee University". The email will include a link to WebAdvisor where students login to GPS. Upon login, students can view the bill, set up and store bank account information, pay the bill electronically, and print paper copies.


13. How can my parents/authorized payers log in and view the bill?
People other than the student may have the ability to view the bill as an authorized payer. Students must set up authorized payers in the system. Students will login to the W&L GPS website and select "Authorize Payer" on the navigation bar.

Follow the online instructions to create a user name and temporary password for each authorized payer. (The temporary password must be changed by the authorized payer when he or she first logs in to the site.)

Authorized payers will receive an automated email notification with the login name informing them that they have been authorized. The student will provide the password to the authorized payer. Each billing cycle, both the student and authorized payers will receive an email notifying them that the bill has been posted. Authorized payers receive a link in their email that takes them directly to the GPS login page.

14. How can my parents or authorized payer pay the bill?
Once the authorized payer is established they can make payments through Make Payment, an optional feature of our new system. Credit card, checking and savings account information from a bank within the United States can be entered at the GPS website and payments will be transferred electronically to W&L. You will have the option to have the site retain your bank account information or you may enter it each time you make an online payment.

No one else will be able to view a payee's confidential account information, not even the student. In the interest of security and privacy, each authorized payer is assigned a separate PIN number to access their account and payment history.

Authorized payers can print the bill and send a check or money order through the mail to our payment processing center (payable to The Washington and Lee University with the student's W&L ID printed clearly on the front of the check) to:
